Uplinq vs. Xero

The reader is deciding between licensing accounting software they or their advisor operate, and paying for a service that does the bookkeeping and tax work for them.

Both get the bookkeeping off your desk. This page lays out where they differ, dimension by dimension, so you can decide on the ones that matter to your business.

THE HONEST SUMMARY

Before the table, the fair version.

A comparison you can't trust isn't worth reading.
WHO THEY ARE

Xero is accounting software sold as a monthly subscription across three US plans (Early, Growing, Established). It provides a general ledger, invoicing, bill tracking, and reporting, and separately operates a directory to help subscribers find an independent accountant or bookkeeper.

WHERE THEY'RE A GOOD FIT

Xero is the right choice if you already have a bookkeeper, controller, or CPA you trust and want to keep. Their advisor directory lists firms with staff trained in Xero and at least eight Xero clients, and their own materials state an advisor can set up Xero, migrate your data, bookkeep, run payroll, and handle tax under one relationship. Support is free and unlimited, billing is month-to-month with a one-month minimum, and onboarding includes a free 90-day Xero Coach. If keeping your existing advisor and just needing the software underneath them matters, Xero fits.

WHERE THE FIT BREAKS

Xero's own pages describe a software subscription plus a separate advisor directory, not a staffed bookkeeping engagement. Their US tax page scopes coverage to sales tax calculation, payroll tax (via Gusto), and 1099 report generation, with e-filing routed to partner apps where fees may apply. No income tax return preparation or filing appears on the pages published, and usage charges for payroll, projects, expenses, and payment processing sit outside the base subscription.

WHERE THE GAP IS STRUCTURAL

Three differences that don't close with a feature release.

Most rows in a table are details. These three are the decision.
01

Who does the bookkeeping work

Xero's own materials describe a software license paired with a separate advisor directory. Their site states the directory exists because accounting and bookkeeping may not be the best use of a business owner's time, and that listed firms have staff trained in Xero with at least eight Xero clients. The actual bookkeeping, migration, payroll setup, and tax work is performed by an advisor the subscriber finds and pays independently.

That structure matters because the subscription price buys the ledger, not the labor. Anyone comparing total cost of ownership has to add a separately sourced and separately priced human on top of the software fee before the comparison is complete.

02

Subscription price vs. total cost of the stack

The base plan is one line item, but Xero's own plan pages document additional usage charges for Payroll, Projects, Expenses, and chargeable direct bank feeds, plus payment fees on invoicing and bill pay, with only standard USD ACH included. Their terms state these charges are billed separately and are not eligible for subscription discounts or promotional offers.

Early plan invoice and bill caps also count transactions initiated by connected app partners against the limit, which can force an upgrade independent of the subscriber's own transaction volume. The advertised plan price is a floor, not the full cost of running the stack.

03

Where the product boundary sits on tax

Xero's own tax page scopes its coverage to sales tax calculation and reporting, payroll tax through a Gusto integration, and 1099 report generation. Filing the 1099 is handed to a third-party e-filing partner app where fees may apply, or exported as a CSV for the subscriber to file themselves. The tax page itself links out to their advisor directory.

No income tax return preparation or filing appears anywhere in their published materials. The obligation to actually file stays with the subscriber or whatever advisor they separately engage, which is a scope boundary built into the product rather than a missing feature.

ALREADY ON XERO?

Switching costs less than staying mismatched.

Your history comes with you. The work of moving it is ours.
01
Export and connect. Week one. You share your existing statements and reports, connect your bank and card accounts, and meet your onboarding specialist. That is the extent of your job.
02
We rebuild and verify. Weeks two to three. We bring your history onto the Uplinq system, rebuild the chart of accounts around how your business actually runs, and reconcile it against your bank records.
03
First verified close. Month one. Your first month closes on Uplinq with accountant review, and you compare it against what you were getting before. Most businesses are fully switched within one cycle.
MOVING FROM XERO

Xero states you should export your data before cancelling, since cancelled organizations become inaccessible; archived data is retrievable for up to seven years by reactivating the subscription unless deletion is requested. Billing is month-to-month with a minimum of one month's fee. CSV export is confirmed for the 1099 report.

QUESTIONS

What people ask when comparing.

01 If I use Xero, who actually does my bookkeeping each month? +

You do, or someone you hire separately. Xero states it sells the software and operates an advisor directory apart from that, built because accounting and bookkeeping may not be the best use of a business owner's time. Xero states all listed directory firms have staff trained in Xero and at least eight Xero clients, and that an advisor can help set up Xero, migrate your accounting data, bookkeep, arrange payroll, and provide tax services. Xero's support page also notes your own accountant or bookkeeper may offer help as part of their services to you. The subscription itself does not include a bookkeeper performing the work.

02 Does Uplinq include tax filing? +

Yes. Business and personal tax filings are available on every Uplinq plan, and tax strategy packages are available for businesses that want proactive planning. Because the same system holds your books and prepares your filings, year end is a handoff, not a project.

03 Does a Xero subscription include filing my business tax return? +

Not based on Xero's published materials. Their US tax page frames the scope as sales tax calculation, payroll taxes, and 1099 reporting. For 1099s, Xero states you file directly from the product through partner apps such as 1099 SmartFile or Tax1099, where fees may apply, or export the report as a CSV to file yourself. US payroll is provided through a Gusto integration. Xero's tax page itself links out to their advisor directory to find an accountant or bookkeeper, and no income tax return preparation or filing is described on the pages published.

04 Who actually does the work at Uplinq, software or people? +

Both, deliberately. Uplinq's AI engine categorizes, reconciles, and monitors your transactions continuously. U.S.-based professional accountants review what the system produces and own every judgment call. You get the speed of technology with a real team accountable for the result.

05 What support comes with a Xero subscription, and can I call someone? +

Xero states support is free and unlimited, available online 24/7 through Xero Central as the first point of contact. If help articles do not resolve the issue, a Get in Touch option is available and Xero states it responds by email as soon as it can. Xero states it does not offer inbound phone support, though it may call a subscriber back if contacted, and subscribers can provide a phone number and preferred time for a callback. No response-time commitment is published on their support pages.

06 What if my books are months behind? +

That's common, and it's a solved problem. Uplinq's Catch Up service rebuilds past months or years of books as part of onboarding, scoped to how far behind you are and the state of your records. You start clean, not from wherever your last provider left off.

07 Do I have to sign a long contract? +

No. Uplinq offers month-to-month agreements as well as annual plans, which carry a discount. If you prepay annually and choose not to renew, you simply give notice 30 days before the term ends.

THE ACTUAL DECISION

You're not choosing a bookkeeping vendor. You're choosing what your numbers are for.

The real question is not which product has more features, but whether you want to run the accounting system yourself or hand the work to someone else entirely.

Feature checklists don't run a business. Clean, current, legible financials do. If that's the outcome you're buying, see what it looks like on your own books.
