Comments, questions & rules — and why you can't re-categorize
Uplinq gives you a few different ways to tell us about a transaction. Knowing which one to reach for keeps your books accurate and saves you time. Here's the simple mental model.
Three tools, three jobs
- Answer a question / set a rule — for recurring vendors. When you pick a category and confirm, we categorize every matching transaction and train the system to handle future ones automatically. This is the fastest way to clear large groups of transactions. See Answering your transaction questions & creating rules.
- Leave a comment — for one-offs. Use a comment to explain what a transaction was, to request a brand-new category, or to ask us to move something that's already been categorized.
If it's a vendor you'll see again, answer the question and set a rule. If it's a one-time thing — or a change to something already on the books — leave a comment.
Why you can't directly re-categorize a transaction
Once a transaction has a category, you won't be able to change it yourself — and that's by design. Edits to categorized transactions route through your bookkeeper for approval, usually within about 24 hours. This keeps your books accurate and consistent, so one change doesn't quietly break a rule or a report elsewhere.
You're never stuck, though. Just leave a comment on the transaction explaining the change you'd like — for example, "This should be Office Supplies, not Meals" — and we'll take care of it.
Transaction statuses & colors
As you work through your transactions, you'll see two colors that tell you where things stand:
- Blue = pending our review. You've answered a question or left a comment, and we're processing it. There's nothing more for you to do on these — they'll clear once we finish.
- Yellow = needs your attention. These are your to-dos: questions to answer or transactions that need a comment or category.
Once we process the blue items, they clear out — leaving just your yellow to-dos so you always know what's left.
A transaction left uncategorized with no comment is invisible to your bookkeeper — we have no way to know what it is. Always either pick a category or leave at least a short comment so it stays on our radar.
